Frequently Asked Questions when Booking a School Group
Resource for Educators
Here are some frequently asked questions when planning on attending a performance at The Grand Theatre.
Do teachers and parents attending the show with our group have to pay as well?
Yes, but we allow all adults to pay the student rate so everyone pays the same per ticket. We have added a new complimentary ticket policy where school groups will receive one free complimentary ticket for every 20 paid tickets up to a maximum of 5 free complimentary tickets.
When should I book my tickets for the show?
As soon as possible. Tickets are booked on a first-come first-served basis. Most schools start to book by the middle of May for the following school year. This way you can avoid being placed on a waiting list.
Can I guarantee that my whole group will be seated altogether?
No. We will do our best to get your group together where possible. If we are not able to get all of your tickets together we will split them into smaller groups but try to keep as many of the tickets together as possible.
When is payment due?
Payment is due at least 30 days before the scheduled performance date that the group will attend. This way we are able to process payment and send the tickets out to the school so that the group may have their tickets before they arrive at the theatre.
Can we pay on the day of the performance?
NO. Payment MUST be received at least 30 days prior to the performance date.
How do I pay?
Payment may be made by cheque, payable to The Grand Theatre, by credit card over the phone or in person at the box office by credit card, Debit or cash.
What happens if I book after the required 30-day payment due date?
Bookings made within the 30 day period must be paid in full immediately.
When am I no longer able to change final number of tickets for our booking?
We must have final numbers as soon as possible. After payment is made, money will not be refunded for any tickets dropped. We are, however, able to add tickets up to the day of the performance if there are still tickets available. Although we will do our best we cannot promise that we will be able to get the added tickets with the rest of the group.
What happens if a student is ill on the day of the performance? Is money refunded for their ticket?
If a student is sick on the day of the performance unfortunately their money cannot be refunded. (If a regular patron is sick or unable to attend the performance their money is not refunded.)
What happens if there is a snow day or bus cancelation and our group is unable to attend the performance?
If there is a case where the school is unable to travel to the theatre due to weather we will do our best to reschedule the group into another matinee date. If we are not able to reschedule the group the school’s money will be refunded.
Do tickets need to be handed out to each individual student?
Yes, each student should arrive at the theatre with their own ticket. All tickets should be handed out prior to arriving at the theatre. This enables us to get all groups into the house and seated to allow the show to start on time. With multiple school groups attending the performances we do not have the space for tickets to be handed out in the lobby of the theatre.
When should we arrive at the theatre for an 11 am student matinee performance?
School groups should arrive at the theatre between 10:30 am and 10:50 am. The doors to the main house do not open until we are given the call from the stage manager which is usually 30 minutes prior to the start of the show. Arriving between 10:30 am and 10:50 am will allow the theatre to ensure that everyone is seated and the show to start on time.
Are we allowed to drink and eat in the theatre?
No. Only bottled water will be allowed in the house. The reason we do not allow food or drinks inside the theatre is because spillage can harm the seats and noise can distract the actors during the performance. There is usually a 20-minute intermission. Students are able to buy a snack or drink at that time.
What should students do with their backpacks and coats?
Students should avoid bringing backpacks to the theatre or leave them on the bus if possible. Coats will not be checked for school groups and therefore, students should take their coats with them into the theatre.
Where should buses drop off and pick up school groups?
Buses can drop off and pick up students at the front doors of The Grand Theatre on Richmond Street. You can also arrange with the bus driver to drop off and pick up the group around the corner from the theatre on Fullerton Street or Dufferin Avenue.
